Employers must distribute W2 forms to employees by January 31st.
W2 forms for all employees must be mailed directly to employees prior to January 31st. For employees that elected electronic W2's, no paper form will be required.
If a Form W-2 is lost or destroyed, you can download and print a copy.
- Click on Payroll > Forms > W2s
- Set to the applicable year and select the employee
- Click the Preview W2 icon
- Download PDF
Any adjustment payrolls needed after January 3rd will require Form W2C and Amended Returns. Please contact

If the employee’s address printed on the Form W2 is incorrect (e.g., returned by the post office), search for the correct address and mail the Form W2 with the incorrect address (same form) to the employee in an envelope showing the correct address or hand deliver it to the employee. Do NOT file Forms W2C with the SSA for an address correction.
If W2 forms are undeliverable, keep employee copies of Form W2 that you tried but, could not deliver. However, if the undelivered Form W2 can be produced electronically through April 15th of the fourth year after the year at issue, you do not need to keep undeliverable employee copies.
